As was mentioned in some of the other posts, the date for our convention depends on when the hotel has an opening, with favorable room rates and convention costs. If there was some dates in say September, it would probably necessitate a higher room rate as that is a better tourist season.
Many things are taken into account when negotiating for the convention dates, and one of them is NOT the convenience for the Convention Chairman, at least in my case. Our club is not that big, where we can demand a better time frame. With our attendance we usually have to take the pick of one or two date choices, and these will usually be in early summer. If we hold it in April, we get complaints that the family can't attend because of school, late fall is the same, August is too hot, etc.
We can't please everyone, but we do try to accomodate as many as possible keeping the costs in mind. I'm always open for suggestions.
